In your pivotal role as Research Administrative Officer, you will assist the Chief Business Officer and Chair to achieve departmental research related goals by coordinating operational, fiscal and human resource activities, research related equipment purchases, and directly managing central department research administrative staff and indirectly managing research personnel across the department. The attributes that would make a candidate most successful in this role include a high adaptability quotient, curiosity, being a solutions-oriented critical thinker, while maintaining focus on quality, accuracy, and excellence.
Additional consideration will be given to applicants who possess prior experience in academic medicine with annual budgets, financial reporting, proficiency with MS Office at an intermediate or advanced level, and/or Workday software. Candidates should have strong leadership skills and the ability to work with staff, faculty, and leaders across the organization.
The Department of Neurology at Vanderbilt University Medical Center (VUMC) is a leader in clinical care, education and research. The Department has over 280 staff and 115 faculty across ten divisions, of which approximately 40 faculty are engaged in research activities. The department seeks a seasoned, strategic, and forward thinking Research Administrative Officer (AO) to work collaboratively and collegially with the Chief Business Officer, Chair and other VUMC constituents and leaders. This is a unique opportunity to build upon the department's current strong foundation to develop and implement a dynamic department strategy, evaluating operations, maximizing grant, clinical trial, and philanthropy revenues, and serving as a leader in an upcoming Workday implementation.
The Research Administrative Officer will partner with the Chief Business Officer to further build an infrastructure that enables and supports the Department's faculty and staff. The AO will need to gather, assimilate, and synthesize the appropriate data to enable leaders within the Department to make well informed decisions. A strong foundational knowledge in finance, human resources, and personnel management is highly desired.

Serve as a member of the departmental administrative team
Attend meetings and interact with other departments as requested by the CBO and/or Department Chairman
Resolve problems directly, or in consultation with CBO and/or Department Chairman concerning staffing, utilization of funding (either federal, non-federal, or philanthropy/gift), and research equipment/space
Provide sound personnel and payroll administration, specifically managing effort of all research related staff and faculty in the department
Ensure internal salary equity within the department across research titles
Maintain confidential personnel records for professional and non-professional staff
Make staffing recommendations to Principal Investigators (PI's) and Research Program Managers and assist with the recruitment process as necessary
Train in departmental systems and procedures; Take a leadership role in establishing research policies, procedures, and training for research coordinators and other research staff
Assign work priorities; conduct performance reviews, disciplinary actions and in concert with others, terminate employees when necessary.
Analyze and develop the annual departmental research budget
Recommend distribution and allocation of general department resources
Review and improve grant and clinical trial preparation and management of funds
Authorize, approve and sign purchase and equipment requisitions, travel and entertainment expenses, etc.
Monitor revenue and expenditures against budgets and grants; Analyze for conformance to budget and compliance with specific requirements and restrictions; Review monthly transaction report details
Manage and coordinate administrative and support functions within the department
Develop and interpret policies and procedures for research staff
Ensure that all policies are in conformance with University guidelines
Prepare reports for PI's and management review
